Identify the parties to each assignment
Maison Brach remains the project's point of contact. We organise stage-by-stage follow-up, necessary discussions and approval requests. The client can find the information needed for decisions without having to piece together exchanges from every stage.
Maison Brach maintains project follow-up and coordinates the discussions needed to move it forward. Product references, approvals and open questions are centralised so that the client retains a clear view of the next steps.
Connect each decision to a person and supporting evidence
Approval of a drawing, sample, change or dispatch must not be attributed vaguely to a group conversation. A table can identify the subject, decision-maker, documents needed and decision record.
Operational information remains attributed to its issuer. A date announced by a manufacturer must be distinguishable from a date confirmed after checking. This allows outstanding issues to be discussed without giving information a scope it does not have.
- Business placing the order and making decisions
- Provider responsible for each operation
- Documents needed for approval
- Questions requiring a specialist opinion
- Process for changes and resolving outstanding issues
Distinguish roles relating to the product and its movement
The European Commission sets out different obligations according to an operator's role in placing a product on the market. The project must identify the manufacturer, seller and economic operator relevant to the product and its destination. These roles are specified in the applicable documents.
Delivery rules and transport assignments are a separate subject. Resources from the International Chamber of Commerce show the importance of the named place and responsibilities attached to the chosen rule. This choice must be examined with the professionals handling the contract and logistics.
Keep an overview of the project
Whenever a project moves to the next stage, the person involved should be able to find the product references and outstanding issues relevant to them. The supplier enquiry documents, sample approval and agreed operational terms form a connected set of records.
When a provider receives an assignment, the scope shared must match what has been accepted. Undecided elements remain explicitly open. Project follow-up must not turn an assumption or recommendation into an approved instruction.
What Maison Brach structures
Maison Brach organises the follow-up of issues, participants and documents needed for decisions. Contractual and regulatory questions are examined against the actual project with the necessary expertise, while retaining a single point of contact for the project.
Before a first discussion, list the people already involved and the assignments you believe you have commissioned. Apparent overlaps often provide the first useful points to clarify.
To gather before the next stage
- The contracting businesses are identified
- Approvals have an owner
- Information is attributed to its source
- Product and transport assignments are distinguished
- Follow-up keeps outstanding issues visible
Preparation questions
01What does Maison Brach keep track of during the project?
Maison Brach tracks product references, discussions, approvals and open questions throughout the stages agreed in its assignment.
02Who is responsible for compliance?
That depends on each operator's role, the product and the market. This allocation needs to be examined against the actual project.
03Does an Incoterms rule replace the contract?
It covers a defined allocation of responsibilities in a sale. The contract must also specify other relevant terms with the appropriate professionals.
